04Method
Seven steps you can follow yourself.
- 1Describe the leads you want
Write your ideal customer profile in a few plain lines. The agent scores every lead against it. Name the person who contacts the best leads, and how fast they must reply.
- Say who signs up and stays, and what they usually ask first. Say who you cannot serve, such as traders in a country you do not accept.
- If your inquiries come from firms, such as would-be partners or sponsors, describe the firms you want instead.
- 2Collect the details of each lead
When a lead arrives, the agent collects what is known about it. If a detail it needs is missing, it names the gap instead of guessing.
- It looks for the name or handle, the source and tracking tag, and the time of the inquiry. It also notes what they asked, their company if any, their language and any friction they mention.
- 3Score each lead and give a reason
The agent scores each lead from 1 to 5, using only the details it collected. It writes the score and a one-line reason next to the lead in your CRM or sheet.
- Intent counts most, then recency, then fit with your profile.
- Intent is what they did or asked. An opened email or a page view with nothing else does not count as intent.
- For recency, the first hour counts most when the time is known.
- 4Route each lead by its score
The agent gives each lead a next step based on its score. It sends nothing itself.
- The top scores are marked contact now and go to a person at once.
- The middle scores go to your follow-up sequence.
- A poor fit gets a polite reply with a useful resource, or no action.
- 5Test it on past leads
Before you switch the agent on, score past leads with it. Use the last 5 who went on to deposit or buy, and 5 who did not. Those who deposited or bought should get the top scores and be marked contact now.
- If they do not, change the profile or the prompt and test again.
- 6Contact the best leads
The person you named contacts every lead marked contact now, within the time you set. A person approves every reply before it goes out.
- Check that no reply invents a discount, a bonus, an account state or a promise.
- 7Check the no-action leads weekly
Each week, read a sample of the leads marked no action. Add any good lead marked as a poor fit to the prompt as an example. Include the reason it should have scored higher.
