Seven steps you can follow yourself.
- 1Use an official bot route
Give the bot its own account. On Telegram or Discord, use their official bot tools. On WhatsApp, use its official business platform.
- An unofficial connection to a personal WhatsApp number risks a ban and repeated logouts.
- 2Build an opt-in directory
Set up an opt-in member directory in a shared spreadsheet. It holds one row per member who fills in your details form.
- Each row has the member's handle, timezone, markets, what they can help with and what they need.
- An offer might be help with platform setup or a journaling template. A need might be a study partner in the same timezone.
- A member who writes only the bot's name gets the form link in a private message.
- 3Write the persona and no-go list
Write a persona file with the bot's voice and its no-go topics.
- The no-go topics are trade ideas, signals, entries, price calls and advice on what to buy or sell. Politics, religion and disputes between members are off limits too.
- The bot never promises profit or a passed challenge. If a member asks for financial, medical or legal advice, it declines and points them to a professional.
- 4Set when the bot answers
The bot answers only when a member calls it. Members call it with a tag, its name, a reply to one of its messages or a robot emoji.

- Test these trigger rules with sample messages before every change, so it never answers when nobody called it.

When a member calls the bot with a need, it reads the directory and drafts a reply. The reply tags every member whose row fits, and nobody else.

- The bot saves only the business facts members state about themselves. It never stores gossip or personal matters.
- 6Approve in the admin group
Keep review mode on. Every message the bot would send, in the group or in private, lands in a separate admin group first. It goes out only after an admin approves it.
- Admins also approve directory changes and polls, such as which time suits the next live session. The bot reports poll results after 24 hours.
- 7Watch that the bot stays up
Set an outside watchdog that messages an admin when the bot goes quiet. Back up the directory daily, and send admins a short daily report.
- The bot never mass-messages members, blasts offers or adds strangers to the group. On WhatsApp, that gets the number banned.
